1. SCHEDULE AND DEADLINES

Schedule and deadlines

In order to get everything ready for your participation as a sponsor, and to help you make the best possible use of your sponsorship opportunity, we will contact you and onboard you to your run.events sponsor dashboard.

In your sponsor dashboard, you will see an overview of upcoming tasks (like registering your staff members, providing the magazine advert or sponsor session details etc.).

Stay tuned and do not hesitate to email us at support@ecs.events in case of any questions.

2. WHAT IS INCLUDED IN MY SPONSORSHIP PACKAGE

What is included in my sponsorship package

You can find a detailed overview of our sponsorship packages in our sponsorship brochure , including information on the size of your booth, number of free tickets and other services included.

3. ADDITIONAL SPONSORSHIP OFFERS

Additional sponsorship offers

Would you like to increase your visibility as a sponsor during the event? Then our additional sponsorship offers, like a promotional video before the keynote session, a session room named after your company name or product, or our PartyTime sponsorship might be of interest to you.

4. SPONSOR STAFF REGISTRATION

Sponsor staff registration

Your sponsorship package includes a certain number of free conference tickets, as well as complimentary tickets for our Appreciation Event on the pre-conference day:

  • Premium sponsors: 12 Sponsor Staff Tickets, 5 Appreciation Event Tickets
  • Diamond sponsors: 10 Sponsor Staff Tickets, 4 Appreciation Event Tickets
  • Platinum sponsors: 7 Sponsor Staff Tickets, 3 Appreciation Event Tickets
  • Gold sponsors: 5 Sponsor Staff Tickets, 2 Appreciation Event Tickets
  • Silver sponsors: 4 Sponsor Staff Tickets
  • Bronze sponsors: 2 Sponsor Staff Tickets
  • Startup sponsors: 2 Sponsor Staff Tickets

We will onboard you to your run.events sponsor dashboard and notify you as soon as your free conference tickets are available for registration. We kindly ask you to register your team members as soon as possible. Do not worry, you will be able to change names later if necessary.

What does the Sponsor Staff Ticket include?
• The Sponsor Staff Ticket gives access to all content during the main conference days. Additionally, it gives access to the expo city on the pre-conference day for exhibition booth setup.

How can I register additional staff members?
• Would you like to register more staff members than included in your sponsorship package? Please use the following 20% discount code for additional staff tickets: ADDSTAFFMEMBER@ECS2026.

How can I register a staff member for a full-day tutorial on the pre-conference day?
• For access to a full-day tutorial on the pre-conference day, please reach out to support@ecs.events.

If you require assistance in registering your staff members, you are welcome to email us at any time.

5. MARKETING MATERIAL KIT AND DISCOUNT CODE FOR CUSTOMERS AND CLIENTS

Marketing material kit

We know our success would not be possible without our amazing network of sponsors and partners. To invite as many participants as possible to the event, we believe that your help is more than useful, because together we are reaching our goal – expanding the community and business network, gaining you maximum exposure to new opportunities. The joint expansion of the community enables us to engage with new clients and partners.

Invite your customers, clients, and followers through your newsletter and communication channels to be part of the conference with an exclusive 20% discount on ticket purchases.

We will provide you with a marketing material kit including banners and a 20% discount voucher code for your customers and clients upon contract signature.

6. BOOTH CONSTRUCTION & EVENT TIMETABLE

Booth construction and event timetable

Your sponsorship package includes a booth space in the expo, a conference Wi-Fi internet connection, and a basic set-up package (Schucko (European) socket, 230 V + waste-basket + waste disposal + booth cleaning).

Depending on your sponsorship level, the size of your booth space is:

  • Premium sponsor: 6m x 6m (booth space only, centrally positioned in the expo city)
  • Diamond sponsors: 6m x 6m (booth space only)
  • Platinum sponsors: 6m x 3m (booth space only)
  • Gold sponsors: 3m x 3m (booth space only)
  • Silver sponsors: 3m x 2m (booth space only)
  • Bronze sponsors: 2m x 1.5m (booth space only)
  • Startup sponsors: Startup pod (branded)

Booth construction, carpet, furniture, and further booth equipment are not included in the sponsorship packages. We have prepared optional turnkey booth solutions for Bronze, Silver, Gold, and Platinum sponsors in cooperation with our booth builder partner. Customized booth solutions can be ordered individually from our booth builder partner or a booth builder of your choice.

Event timetable with booth setup and teardown times:

  • 5 May 2026 – 14:00-18:00 Booth setup for sponsors (external booth builders can start at 08:00)
  • 5 May 2026 – 19:00 Sponsor & Speaker Appreciation Dinner
  • 6 May 2026 – 09:00 ECS 2026 Opening Ceremony
  • 6 May 2026 – 10:00 Opening of the expo for attendees
  • 6 May 2026 – 18:30-21:30 Party Time in the expo, with drinks & finger food
  • 7 May 2026 – 08:00 Start of sessions/expo opening
  • 7 May 2026 – 17:00 ECS 2026 Closing Ceremony
  • 7 May 2026 – 17:00-23:59 Booth teardown

9. APPRECIATION EVENT

Appreciation Event

There is one exceedingly, splendiferously important note! The European Collaboration Summit is about content and expo, as much as about community, networking, and togetherness. To sum it up, we would be very pleased if you, our sponsors, took part in our networking event on the pre-conference day. Your sponsorship package includes free tickets for our Appreciation Event – dinner and live music, for sponsors, speakers, and organizers.

We will share more detailed information about the Appreciation Event via email and inform all registered attendees about further logistical details.

You can register your participants for the Appreciation Event within your sponsorship dashboard. Depending on your sponsorship level, the number of your free tickets is:

  • Premium sponsors: 5 tickets
  • Diamond sponsors: 4 tickets
  • Platinum sponsors: 3 tickets
  • Gold sponsors: 2 tickets

11. ECSMAGAZINE

ECSMagazine

The ECSMagazine, containing professional articles and relevant event info, will be printed, and distributed to all event delegates.

Within the ECSMagazine, sponsor logos will be printed on a dedicated sponsor page. In addition to that, if you have booked a Premium, Diamond, Platinum, or Gold sponsorship package, you are also welcome to send us your printed magazine advert.

The number of advert pages, depending on your sponsorship package, is:

  • Premium sponsor: 3 pages
  • Diamond sponsors: 2 pages
  • Platinum sponsors: 2 pages
  • Gold sponsors: 1 page

Print instructions: sponsor logo

  • CMYK K100%
  • Vector or raster format (pdf, tiff – in case of raster format minimum 300 dpi and 2000 px wide; note: PNG is not accepted)
  • Transparent background.

Print instructions – advert pages

  • Page format: 21 x 21 cm + 3mm bleed, no crop marks
  • Move away essential print elements (logos, contact details etc.) at least 5 mm from the margins of the printable area.
  • CMYK K100%
  • Vector or raster format (pdf, tiff – in case of raster format minimum 300 dpi; note: PNG is not accepted).

12. GAMIFICATION, SWAGS, AND RAFFLE PRIZES

Gamification and raffle prizes

We invite you to take part in our conference gamification to significantly enhance your engagement with attendees.

Our central gamification concept is coins. Attendees can earn digital coins by performing activities like visiting regular and sponsor sessions, visiting sponsor booths, or rating sessions. Attendees can use these coins to receive sponsor and exhibitor swag showcased in the mobile app. A leaderboard prominently displays the names of the attendees who have earned the most coins and motivates everybody to compete and increase engagement.

If you wish to participate in our conference gamification, please email us your giveaway prize information to support@ecs.events:

In addition to that, we invite all sponsors to offer a raffle prize and to organize a prize drawing at their booth in the expo. Prize raffles are a great opportunity to gain more attention from the attendees, which can let you introduce your products/services more widely among the participants.

Your raffle prize will be promoted during the event through our conference app. Within your sponsor dashboard, you will be able to easily draw the winner of your prize among either all event attendees or your booth visitors. You can set your own rules for the prize raffle as well.

The prize can be anything you wish to raffle, be it a complex Lego set, new electronic device for daily routine, or a weekend getaway along with a loved one. It is all up to you to decide. We recommend a prize valued between 100-200 EUR.

13. SPONSOR SESSIONS (PREMIUM, DIAMOND, AND PLATINUM SPONSORS)

Sponsor Sessions

Premium, Diamond, and Platinum sponsorship packages include a sponsor session that will be included in the conference agenda.

We would like to promote your sponsor session to as many attendees as possible, and therefore it is crucial to us, and to you, that we receive your sponsor session details as soon as possible:

Please email the following session and speaker information to support@ecs.events:

  • Session title
  • Short session abstract
  • Speaker name
  • Short speaker biography
  • Speaker picture (min. 600 x 600 pixels, for web and print)
  • Speaker email address

14. PROMOTIONAL VIDEO (PREMIUM AND DIAMOND SPONSORS, OPTIONAL FOR PLATINUM AND GOLD SPONSORS)

Promotional Video

The promotional videos will be played in “cinema-style” before a session in the keynote room and other major sessions. Premium and Diamond sponsors have this advantage included in their package. It should be maximally 1 minute long, in a standard commercial style.

Please send us your promotional video (via email, OneDrive, Dropbox, or any other file sharing option) at support@ecs.events.

15. PRESS RELEASES (PREMIUM, DIAMOND, AND PLATINUM SPONSORS)

Press Releases

As a Premium, Diamond, or Platinum sponsor, you can share news about your company in the form of press releases on our website. Press releases will be published on our conference website in the “News” section, which you can share via social media channels after.

The number of press releases, depending on your sponsorship package, is:

  • Premium sponsor: 3 press releases
  • Diamond sponsors: 3 press releases
  • Platinum sponsors: 1 press release

You might want to use the press release to promote, for example, your sponsor session or your raffle prize at the event and invite attendees to visit your booth and to your activities on-site.

Please email the following press release data to support@ecs.events:

  • Up to 5,000 characters
  • One photo/picture
  • Link to your website page/subpage
  • Your social media link(-s), so we can tag you.

When you send us your press release, we will contact you back to agree on the date of the publication and further details.

17. CONFERENCE MOBILE APP, LEAD SCANNING

Conference Mobile App and Lead Scanning

As soon as you have a Sponsor Staff Ticket assigned to your name, you can install the run.events mobile app to get ready for lead scanning on-site.

You can find useful information on how to use the conference mobile app as a sponsor here. We will also send further info and help you to prepare everything prior to the events, so you are all set to engage with our conference attendees when the expo opens.
